Steps to Import Journal Entries into QuickBooks


Importing with SaasAnt Transaction is a breeze with our simplified and powerful Import wizard. Just follow a simple 3 step process to bulk import your file data to QuickBooks.

Click Import button in the Dashboard screen or Import option from the File menu in the menubar to navigate to File Selection screen of the Import wizard(Step 1).

  • Step 1 - File Selection: Select 'QuickBooks Transaction Type' as 'Journal Entry'. 'Select Your File' - You can either click 'Browse File' to browse and select the file from local computer folder or click 'Sample Templates' to navigate to SaasAnt sample file in local.
  • Step 2 - Mapping: Set up the mapping of the file columns corresponding to QuickBooks fields. This step will be automated for you if you use the SaasAnt template file. Download Sample Template file.
  • Step 3 - Review & Import: Review your file data in the Review Grid screen and click 'Send to QuickBooks' to upload your file data to QuickBooks.

Mapping QuickBooks Fields

Import Settings

A host of powerful customisations for your file data is available with Import Settings. This is available in the Step 3: Review & Import screen or directly under 'Edit' Menu in the menubar. Some of the very useful settings for transaction includes:

  • Find Matching Transactions in QuickBooks by: Identifier to locate existing transactions in your QuickBooks.
  • Action When a Matched Transaction Found: If an existing transaction is found for the above setting identifier then the corresponding action to be taken. You can choose to Duplicate/ Ignore/ Update/ Append existing transaction in your QuickBooks.
  • Pre-Import Validation: Validate the complete file before importing to QuickBooks. By turning this setting ON, file rows will be imported only after cleaning up all the issues in file. This option however will delay the import.

Import created QBO file into Quickbooks for Windows

Follow the steps below for the Windows version, followed by the Mac version.

When the QBO file is created, switch to Quickbooks and import created QBO file. Before importing, make sure that the account you need to import into doesn’t have the yellow strike icon. Click 'Lists' - 'Charts of Accounts'.

If you have the icon, it means the account is online linked to direct download. You need to disconnect first to import a QBO file.

To disconnect, right-click - 'Edit Account'.

Then click on 'Bank Feed Settings' and 'Deactivate All Online Services' first if needed. Check there is no yellow icon after the change. After disconnecting the account from online services, you can import a QBO file.

To import a QBO file, select 'File' - 'Utilities' - 'Import' - 'Web Connect Files', select created QBO file.

And select an existing account to import transactions. Check bank label, Account Type, Account number to select correct Account in Quickbooks. Then click the 'Continue' button.

Now your data is imported.

Click on 'Transaction List' to review transactions. Assign Vendor Records and expense/income accounts before adding transactions to the register.

Mac

'Downloaded as' column shows Payee names from the QBO file. And the 'Payee' column is empty. It shows Vendor Records. When you choose a Vendor Record, for the Payee from the QBO file, QuickBooks will remember your choice for the next QBO import.

Click 'Show Bank Memo' to see the description to the 'Bank Memo' column.

Once Vendor Records and Account are set, you can add transactions to the register. The rename rule creation dialog will show up after to use for the next time.

Import created QBO file into Quickbooks for macOS
